Volunteer Position Job Descriptions

Subject Matter Expert

Mission:

Subject Matter Experts are responsible for maintaining a repository of educational sessions for a particular subject matter area. Subject Matter Experts are specifically responsible for session parameters such as title, abstract, speakers, etc. The Subject Matter Expert also recommends strategic direction for a subject matter area in conjunction with the Conference Education Team in the fulfillment of various Courses of Study. To this end the Subject Matter Expert works closely with other Subject Matter Experts and all members of the Conference Education Team as a whole.

Subject Matter Experts may also be called on by other areas of COMMON to contribute information and advice related to their area of expertise.

Reports To:
Conference Education Team

Responsibilities:

  • Maintain sessions for a subject matter area.
  • Work with the Conference Education Team to develop sessions which fulfill Course of Study objectives.
  • Identify potential speakers for sessions.
  • Attend scheduled meetings during the conference.

Pre Conference (6-9 Months):

  • Review Course of Study objectives with Conference Education Team.
  • Identify sessions which meet these objectives.
  • Update sessions in C-Plan.

On-Site:

  • Verify speakers have checked in prior to sessions.
  • Verify handouts have been delivered to room on the day of a session.
  • Coordinate changes to sessions (audio-visual, speaker, rooms, etc.) including completion of appropriate forms and submission to Conference Education Team.
  • Attend sessions, specifically Vendor Product Sessions, to evaluate content and monitor for Code of Ethics compliance.
  • Complete GreenStreak highlight forms as desired.

Post-Conference (60-90 Days):

  • Meet C-Plan deadlines for update of session information.
  • Complete necessary Vendor Product Presentation forms before Education Team Strategy meeting.

Recommended Qualifications:

  • Must have demonstrated management and planning skills.
  • Must have expertise in the particular subject matter area to which assigned.
  • Must have at least three (3) years experience in a systems (software, hardware, applications) or management environment.
  • Must have demonstrated creativity and leadership skills.

Education:

  • Within one (1) year of appointment, must graduate from COMMON's Training Program.

Commitment:

  • Commitment to a minimum two (2) year term.
  • Attendance at two (2) conferences per year, six (6) days each (or one [1] conference per year if participating in position rotation).
  • In addition to out of office commitments, must be able to volunteer at least one (1) day of time per month to COMMON activities.
  • Must be able to access the volunteer on-line communications vehicle (Lotus Notes) and must do so frequently.

Reasons for Dismissal:

  • Failure to fulfill the responsibilities of office including attending conferences, meetings and submitting conference summary reports.
  • Inability to volunteer (1) one day a month for COMMON activities.
  • Failure to act in a way consistent with COMMON's Code of Ethics and Bylaws.
