In The Session Room

1. AUDIO/VISUAL & ROOM SETUP

NOTE: COMMON’s Code of Ethics extends to Web page content, just as it does to general session handouts and visual aids. Thus, no discussion or representation of price is permitted on a Web site you display in your session, without the express written approval of the Board of Directors.

Session rooms will have the following setup:

  • Lavaliere Microphone
  • Data Projection Unit and Screen (1024 x 768)
  • Wireless Internet Access

Lab Rooms will have the following equipment (Tracks LA, LB, and LC):

  • Lavaliere Microphone
  • Data Projection Unit and Screen (1024 x 768)
  • 1 PC Workstation Presenter, Pentium 4, 800Mhz minimum
  • Broadband connection to the Internet
  • 26 PC workstations

The Volunteer Support Center is available for you to use as a place to prepare for your presentation, and is equipped with the following:

  • Microsoft Office
  • Microsoft Internet Explorer

2. TLCs

TLCs (Tactical Liaisons to Curriculum) are responsible for handling onsite tactical issues related to the presentation of sessions, including A/V, room temperature, not enough handouts/eval forms etc. If you have an urgent need requiring immediate attention, contact a TLC--identified by the blue TLC vest.

3. SESSION EVALUATIONS

Speakers should encourage their audience to complete the session evaluation form in full. However, speakers should not attempt to coach the audience in evaluating the speaker/session. Speakers who violate this guideline will not be eligible for medals or awards. For more information, read the Session Evaluation Guidelines.

4. SPEAKER ASSISTANTS

Speaker Assistants are volunteers who sign up to help in the session rooms. Not all sessions will have a Speaker Assistant, it all depends on who signs up. Speaker Assistants will introduce the speaker, help distribute handouts and eval forms, and help collect completed eval forms.

5. AUDIENCE

When presenting your session, remember to:

  • Use the microphone to be sure everyone can hear you.
  • Be sure everyone is seated before you begin.
  • Maintain eye contact--avoid "reading" from your slides.
  • Adhere to your topic--answer questions but do not allow attendees to lead you off-track. Utilize the evening social events to continue/expand conversations, and announce your availability to the audience.
  • Repeat attendees' questions for the entire audience.
  • End on time--reserve the last 5-10 minute for questions & answers.
  • Watch what you say--press may attend all COMMON sessions (IBM and non-IBM)--do not say anything you don't want to see in print.

6. PRESS REPORTING

COMMON prefers to make all sessions at its conferences open to members of the Press for reporting purposes. You can close a portion of your session (such as Q&A) by specifically stating as such.
